Practical Information

Date and Place of the School

The Second Asia-Europe-Pacific School of High-Energy Physics will be held from 4 to 17 November 2014 in Puri in East India. All the participants will be housed in the Toshali Sands Hotel that also provides the conference facilities for the lectures and discussion sessions.

Accommodation

The students, faculty and staff of the School will be lodged in the Toshali Sands Hotel. Students will share twin rooms with toilets and shower rooms. Please note that the rooms will be allocated by the Organizers, mixing students of different nationalities with a view to promoting cultural exchanges between them. Photographs of the hotel and surroundings are shown below.

The lecture hall and the rooms for the discussion sessions are situated in the hotel complex.

Breakfast, lunch and evening meals will be served in the restaurant of the hotel. There is a bar where participants will be able to purchase drinks in the evenings. Free wireless internet will be provided for all participants, but please note that the bandwith will be very limited and coverage may be restricted to certain public areas of the hotel.

Travel Arrangements

Students who are selected to attend the School should arrange to arrive in Puri for registration during the afternoon or evening of Tuesday 4 November 2014. The school will end on the morning of Monday 17 November after breakfast.

On the day of arrival a free pick-up service will be organized between the nearest airport - Bhubaneswar (airport code BBI)- and the hotel. Similarly, on the departure day, free transport will be offered to the aiport. Note that students should not make firm bookings for travel to the school before they have been formally accepted, and travel arrangements for funded students must be agreed in advance by the School organizers.

Weather

The average maximum temperature in Puri in November is around 28 degree Celsius, and the average minimum temperature is around 17 degree Celsius.

Social Progamme

Reception: A welcome drink reception will be held before the dinner on Wednesday, 5 November.
Banquet: A farewell party will be held on Sunday, 16 November.
Excursions: There will be 1 full-day excursion and 2 half-day excursions organised during the School - details will be posted later on the website.

Language

The working language of the School will be English. Participants must therefore have a good understanding of English to enable them to benefit from the School.

Proceedings

The School Proceedings will be published as a CERN Yellow Report and a KEK Report. Each participant is entitled to one copy free of charge (on request).
